The Marketing Coordinator is the operational backbone of our marketing department. This role keeps our tradeshow program, vendor relationships, marketing budget administration, and product information coordination running smoothly. The right candidate is highly organized, detail-obsessed, comfortable juggling multiple deadlines and travel calendars, and excited to learn the full marketing function from the inside. This is positioned as a growth role. The coordinator who excels at the administrative, billing, and event-logistics foundation has a clear path into broader marketing production work — content, campaigns, and project management — as their skills and interests develop. It will be required to travel and attend approximately 4–8 industry events per year (2–5 days each).
Key Responsibilities:
Tradeshow & Event Coordinator
- Coordinate logistics for approximately 4–8 industry tradeshows and customer events per year, including registration, booth shipping, freight scheduling, equipment transport, and on-site setup/teardown.
- Serve as primary liaison with show service contractors, freight companies, venue contacts, and exhibit vendors.
- Maintain master event calendar, run-of-show timelines, and pre-event task checklists for the marketing team and supporting departments.
- Travel to major tradeshows to provide on-site coordination, attendee support, and execution oversight.
Travel & Logistics Management
- Book and coordinate travel arrangements (flights, hotels, ground transportation, dining reservations) for marketing team members and cross-functional staff attending company-sponsored events.
- Build and distribute travel itineraries, rooming lists, and on-site contact sheets in advance of every event.
- Anticipate logistical issues — flight delays, hotel overbooking, equipment shipping delays — and resolve them proactively.
Billing, Budget, & Vendor Administration
- Process invoices, purchase orders, and vendor payments for tradeshow expenses, marketing services, software subscriptions, and event-related contractors.
- Maintain accurate records of marketing spend against budget; reconcile expenses against forecast monthly.
- Build and submit expense reports for marketing-team travel and event-related spending.
- Track contract renewals, vendor agreements, and service-provider deliverables; flag upcoming renewal dates and pricing changes.
Product Information & Content Coordination
- Coordinate with Product Management, Sales, and Customer Success teams to gather accurate, current product information for marketing collateral, event materials, and campaign assets.
- Maintain inventory of marketing collateral, print materials, branded swag, and event-booth assets; coordinate restocking and shipping logistics.
- Support review cycles for marketing materials by routing drafts, tracking feedback, and managing approval workflows.
Scheduling & Cross-Functional Coordination
- Schedule recurring meetings, working sessions, and project check-ins across the marketing team and with stakeholders in Sales, Customer Success, Product Management, and executive leadership.
- Track project deadlines and deliverables across multiple concurrent campaigns and events.
- Prepare agendas, take notes, and distribute action items for marketing team meetings.
Administrative & Project Support
- Support the Marketing Manager with project trackers, status reports, and presentation preparation.
- Assist with light copy review, proofreading, and document formatting for internal and external materials.
- Contribute to post-event recap summaries, attendee follow-up coordination, and lessons-learned documentation.
Required Qualifications:
- 2–4 years of experience in marketing coordination, event coordination, executive administration, project administration, or a closely related operational role.
- Demonstrated strength in scheduling, calendar management, and managing multiple concurrent deadlines.
- Strong attention to detail — accuracy in spelling, numbers, dates, and contact information is non-negotiable.
- Experience processing invoices, tracking expenses, or administering vendor billing.
- Working knowledge of business travel logistics — flight booking, hotel coordination, itinerary building, expense tracking.
- Strong written and verbal communication; professional comfort interacting with senior staff, external vendors, and event contractors.
- Proficiency with Microsoft 365 (Outlook, Excel, Word, Teams, SharePoint).
- Bachelor’s degree in Marketing, Business, Communications, Hospitality, or a related field — or equivalent professional experience.
- Available to travel approximately 4–8 times per year for company-sponsored tradeshows and events, including occasional weekends.
Preferred Qualifications:
- Direct tradeshow or industry-event coordination experience (booth logistics, freight, exhibitor services, on-site execution).
- Exposure to B2B technology, SaaS, or professional services industries.
- Familiarity with HubSpot, Salesforce, or another modern CRM platform.
- Experience with project management tools such as Asana, Jira, Monday.com, or Trello.
- Comfort with expense management platforms (e.g., Concur, Expensify, Ramp, Bill.com).
- Familiarity with AI productivity tools such as Claude, ChatGPT, or Microsoft Copilot for drafting, research, and summarization.
- Interest in growing into broader marketing production work — content creation, campaign management, event marketing strategy, or marketing project management.

Compensation for this role is being offered at $65,000 – $70,000 annually and will be determined based on experience.
