Reports To: Director of Human Resources | Salary Range: $85,000 – $110,000 | FLSA Status: Exempt

The HR Specialist serves as a hands-on resource for employees and managers across the organization, providing knowledgeable and responsive support. This role plays a vital part in the day-to-day delivery of HR services, from talent acquisition and onboarding to benefits administration, employee relations, payroll processing, and compliance. The HR Specialist is a trusted point of contact for HR-related questions and needs, and is committed to creating a consistent, positive, and people-first experience at every interaction. This role thrives in a collaborative environment, balancing multiple priorities while maintaining a high level of professionalism, discretion, and attention to detail.

HR Administration

  • Draft, review, and maintain a wide range of HR documents including job descriptions/postings, offer letters, policy notices, announcements, and other communication as needed
  • Assist with updating HR forms, templates, and standard operating procedures to ensure consistency across the organization
  • Maintain and organize physical and electronic HR files, ensuring accuracy, accessibility, and compliance with retention policies
  • Support the HR department with special projects, presentations, and HR initiative rollouts
  • Leverage artificial intelligence and emerging technologies to streamline HR workflows, automate routine administrative tasks, and continuously evaluate and modernize HR processes to improve efficiency, accuracy, and the overall employee experience
  • Assist with the coordination, implementation, and ongoing support of all HR-related systems, serving as a knowledgeable resource for employees at all levels to ensure effective utilization and a positive user experience

Talent Acquisition & Onboarding

  • Utilize innovative and creative sourcing strategies to attract top talent, including social media recruiting, professional networking platforms, community outreach, employee referral programs, and emerging sourcing tools and technologies
  • Fulfill full-cycle recruiting needs, including posting positions, screening resumes, coordinating interviews, and extending offers
  • Assist with new hire orientations to achieve a seamless onboarding experience
  • Facilitate the creation and revisions of job descriptions in collaboration with the HR Director and hiring managers

Employee Relations

  • Serve as a point of contact for employee inquiries regarding HR policies, benefits and  payroll initiatives

Benefits & Compensation

  • Process employee benefits programs including health, dental, vision, 401(k), and leave of absences
  • Support annual benefits open enrollment and assist with communication to employees
  • Assist with administering the company Wellness Program, including coordinating events, communicating program details to employees, and tracking participation

HR Compliance & Recordkeeping

  • Maintain accurate and confidential employee records in the HRIS system
  • Ensure compliance with federal, state, and local employment laws (EEO, FMLA, ADA, FLSA, etc.)
  • Prepare and submit required HR reports and assist with information requests and audits
  • Support development and implementation of HR policies and procedures

Payroll Processing

  • Serve as the back-up for semi-monthly payroll processing, ensuring accuracy and compliance with applicable wage and hour laws
  • Review timekeeping records and resolve discrepancies in coordination with managers and employees

Training & Development

  • Coordinate compliance training programs (harassment prevention, safety, DEI)
  • Assist with identifying employee development needs and sourcing training resources

Employee & Company Events

  • Assist with the coordination and execution of company-wide events including parties, recognition occasions, team-building activities, and employee appreciation initiatives
  • Organize employee milestone celebrations such as work anniversaries, retirements, weddings and baby showers
  • Handle vendor relationships, budgets, and logistics for HR-sponsored events (e.g., catering, venues, and promotional materials) in partnership with the HR team
  • Perform additional HR-related duties and support cross-functional initiatives as assigned, demonstrating flexibility and a willingness to contribute wherever needed to advance departmental and organizational goals

Experience

  • Minimum 3+ years of progressive HR Generalist or HR Specialist experience or 7+ years of closely related experience
  • Experience with full-cycle recruiting and applicant tracking systems (ATS) preferred
  • Demonstrated experience with HRIS platforms (e.g., Paychex, Workday, ADP, BambooHR, or similar) preferred
  • Exposure to multi-state employment law compliance preferred

Skills & Competencies

  • Strong knowledge of federal and state employment laws and HR best practices
  • Excellent interpersonal and communication skills, with the ability to interact effectively at all levels of the organization
  • High level of discretion and confidentiality when handling sensitive employee information
  • Strong organizational and time management skills with the ability to manage multiple priorities simultaneously
  • Analytical mindset with proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)
  • Collaborative team player with a solutions-oriented approach
  • Ability to work independently and exercise sound judgment
  • Standard office environment
  • Ability to sit for extended periods; occasional lifting of up to 25 lbs. (office materials, event supplies)
